About the Role

This is a varied and hands-on role suited to someone who enjoys working in a small team environment. You will be the first point of contact for clients and will ensure the smooth running of front desk and administrative functions.

You will support our practitioners by coordinating appointments, maintaining accurate records, and assisting with general office administration.

Key Responsibilities

Client & Front Desk Support

  • Welcoming clients and managing reception duties

  • Answering phone calls and responding to email enquiries

  • Booking, confirming, and rescheduling appointments

  • Managing client records with accuracy and confidentiality

Administrative Support

  • Processing invoices, payments, and Medicare/private health claims (if applicable)

  • Maintaining electronic filing and practice management systems

  • Preparing basic reports and documentation

  • Ordering office and clinical supplies

Clinic Operations

  • Supporting clinicians with scheduling and administrative needs

  • Maintaining a clean, organised reception and waiting area

  • Assisting with onboarding documentation for new clients

  • Contributing to the development of efficient clinic processes as we grow

Our Requirements

  • 3+ years experience in client facing administration support (Allied health or Medical experience preferred).

  • Strong organisational and time-management skills

  • Excellent communication and interpersonal skills

  • High level of professionalism and confidentiality

  • Strong attention to detail and accuracy

  • Confident using Apple Inc. and online systems

  • Ability to work independently in a small team environment

  • Confidentiality and confidence in all dealings with client information, bookings and payments.
